Material requisition
preparation

Turning monthly source files into validated, grouped Excel workbooks for a controlled IFS handoff.

ROLE

Workflow engineering

FOCUS

Validation & repeatability

STACK

PowerShell / Excel / CSV / IFS workflow

Deliverable
Grouped Excel workbooks and an output manifest for review before IFS
Implementation boundary
File preparation; the IFS handoff uses human review and the existing macro.

Context

The work starts before the ERP.

Restaurant material requisitions begin with operational source files and purchase-order data. Before a request can reach IFS, dates, item codes, quantities and workbook structure must be brought into alignment.

Problem

Small inconsistencies become repeated work.

Blank rows, duplicate item codes, mixed date representations and invalid quantities make a manual copy-and-paste process fragile. A monthly batch needs consistent grouping and a clear record of its output.

Architecture

A transparent preparation pipeline.

Source CSV / Excel files flow through validation and date normalization, then into grouped macro-enabled workbooks. A manifest records the generated groups. The final ERP step stays an explicit reviewed handoff.

Solution

Prepare once. Review with context.

PowerShell scripts prepare single-day and monthly outputs, validate relevant rows and generate grouped workbooks. Source-to-output traceability makes it possible to inspect a group before running the existing IFS macro.

Technology

Use the tools the workflow already trusts.

PowerShell and Excel fit the Windows operational environment. CSV provides an accessible input boundary. The existing macro-enabled workbook remains the handoff format instead of introducing an unverified ERP integration.

Interface

Files that explain where they came from.

Each output group has its own workbook and an entry in the manifest. The architecture illustration represents this file-based interface; it does not imply a separate deployed web dashboard.

Automation

Automate preparation. Preserve review.

Repeated row selection, validation and workbook preparation can be automated. Verification of the prepared workbook and the authorized IFS action remain separate steps. No direct IFS API connection is claimed.

Results

A repeatable output structure.

The workflow produces organized requisition workbooks and a manifest instead of relying on untracked manual copying. The case study focuses on the implemented preparation boundary, not an unverified unattended ERP deployment.

Engineering decisions

Make uncertainty visible early.

Reject invalid quantities, distinguish empty rows from malformed input and handle date normalization explicitly. Keep generated files traceable and avoid silently changing the source data.
